NL English Academy is committed to the safety, wellbeing, and dignity of every student in our care. This policy sets out how we uphold that commitment, both in our live online classes and in how we handle recordings and personal information.
1. Our Commitment
1.1 Every student who joins NL English Academy has the right to learn in an environment that is safe, respectful, and free from harm.
1.2 This commitment applies equally online and offline, and to every interaction between our staff and students, during lessons, in communications, and in how we handle any recording or image of a student.
2. Scope
2.1 This policy applies to all NL English Academy directors, tutors, staff, and contractors who interact with students, and covers all NL English Academy programs, including term programs, holiday programs, and online packs.
3. Working with Children Checks
3.1 Every tutor who provides instruction to students at NL English Academy is required to hold a current Working With Children Check (WWCC) clearance, in accordance with the Child Protection (Working with Children) Act 2012 (NSW).
3.2 We maintain a record of current WWCC clearances for all tutors and verify renewal in line with WWCC expiry dates.
4. Online Conduct Standards
4.1 All tutors and staff are expected to:
(a) keep their camera on and maintain a professional environment during live lessons;
(b) communicate with students only through official NL English Academy platforms; never through personal phone numbers, personal social media, or private messaging apps;
(c) never download, save, or share a lesson recording for any purpose outside their official teaching duties; and
(d) treat every student with respect, patience, and courtesy, consistent with our student code of conduct.
4.2 Any concern about a tutor or staff member's conduct towards a student should be reported immediately using the process in section 6.
5. Recordings and Data Governance
5.1 We record standard live classes for educational continuity, so students can revisit lessons or catch up on a missed class.
5.2 With separate, opt-in parental consent, some recordings may also be used to create commercial educational products. Parents may withdraw this consent, and request deletion of unsold recordings, at any time.

5.4 Access to raw, unedited lesson footage is restricted to staff who need it for teaching, quality assurance, or preparing an approved commercial product. Any recording approved for commercial release is reviewed before publication.
6. Raising a Concern
6.1 If you have a concern about the safety or wellbeing of a student, or about the conduct of any NL English Academy tutor or staff member, please contact our Child Safety Officer directly at [email protected]
6.2 All concerns are taken seriously and are reviewed by the NL English Academy director. Where a concern relates to conduct that may put a student at risk, we will act promptly, which may include suspending a tutor's access to students while the matter is reviewed.
6.3 Nothing in this policy limits your right to raise a concern with an external authority, including the NSW Office of the Children's Guardian or NSW Police.
7. Review of This Policy
7.1 We review this policy at least annually, and whenever our programs, technology, or legal obligations change in a way that affects student safety.
